The opportunity
A rare opportunity has become available for a graduate events assistant to join our team. This is a wonderful chance for the right candidate to truly launch their career in Events. The successful person will learn from the best in the industry and even though the role has a huge administrative element to it, we don’t keep our junior staff away from the action. You’ll attend all our conferences and awards with an active role in each. You’ll receive excellent on the job training whilst exposure to every aspect of the Events cycle. At Caspian, we support good ideas and in our flat accessible structure your ideas won’t get stuck in the bottleneck sometimes experienced in larger companies. On top of all this, you’ll be joining a very friendly small tightly knit team in a media Company of about 50 employees.

The role (day-to-day):

•Customer Services and registration management

uf0d8Answer phones and emails to the events desk
uf0d8Receive and handle delegate enquiries and
uf0d8Communications with shortlisted candidates (potential awards winners) with regards to judging day logistics
uf0d8Creating registration pages and website content using “Eventsforce”
uf0d8 Registering attendees including speakers, judges and free ticket holders
uf0d8Input attendee guest names, job titles, dietary requirements, etc
uf0d8Keep abreast of payment status for all attendees and enter booking onto our CRM system (Workbooks)

•Onsite responsibilities (at the event)

uf0d8Take responsibility for the smooth running of attendee registration at events including badge accuracy, badge printing, last minute name changes, etc)


uf0d8Create judging packs for awards judging days
uf0d8Collate shortlist information and delegate packs such as logos, headshots, bios, etc
uf0d8On the day print jobs (signage design, table plan lists, place names, badges)
uf0d8Pack material required at the events
uf0d8Manage taxi and courier bookings
uf0d8Proof-reading copy
uf0d8Participation in table planning for awards
uf0d8Venue searches and catering management for small dinners, breakfasts and round-tables
uf0d8Supplier research and database management
uf0d8Sourcing merchandise and events suppliers for items such as trophies, lanyards, printed gifts, performers

•Marketing Admin

uf0d8Updating website information such as adding programmes, speakers, judges, sponsor logos, shortlisted candidates and winners
uf0d8Researching companies for awards submissions

•Other day-to-day

uf0d8Assist with greeting Caspian guests
uf0d8Answering reception calls (when required)
