Caspian Media is looking for an events assistant to help with the administration of Caspian’s professional events portfolio. This person will report to the head of events (logistics) and work closely with the events director of our flagship brands Real Business, Real Deals and First Women.
Our awards, summits, roundtables and conferences are known for their innovative programming, brilliant content, impressive sponsorship partnerships, solid delegate engagement and finally our very professional, competent and friendly events team. The right team member would have to be flexible, eager and focused on quality. The core tasks would include:
Customer Service/Registration management:
•Answering phones and emails to the events desk
•Management of delegate/attendee enquiries - ensuring they have all the information they need, sending out final delegate emails, etc.
•Managing communications with shortlisted candidates regarding judging day logistics
•Creating and designing registration pages and website contents through Content Management System (Eventsforce)
•Managing email communications with attendees - including automatic registration emails and ad-hoc enquiries
•Registering speakers/judges/free attendees
•Manage input of attendee guest names, job titles, dietary requirements, etc.
•Ensuring payment status of all attendees is kept up-to-date - including processing bookings on CRM system (Workbooks)
•Responsibility for smooth-running of attendee registration at events (e.g. badge accuracy, printing, name changes, etc.)
•Create judging packs for awards judging days
•Collate shortlist information (logos, headshots, bios, etc.)
•On the day printing (designing signage, table plan lists, place names, badges etc.) and packing of materials
•Manage taxi and courier bookings
•Involvement in table planning for awards
•Collating delegate pack information e.g. speaker bios, photos etc.
•Venue searching for small dinners, breakfasts and round-tables
•Venue and catering management for small dinners, breakfasts and round-tables
•Supplier research and database management
•Sourcing suppliers for merchandise/event items e.g. trophies, lanyards, printed gifts, performers etc.
•Updating website information e.g. adding programme, speakers, judges and sponsor logos, shortlisted candidates and winners where necessary
•Assisting in researching companies for awards submissions
Day to day:
•Assisting with opening the door and greeting Caspian guests
•Answering reception calls when necessary
•Excellent attention to detail
•Good written English
•Good Microsoft Excel and Word skills
•Eager and willing to learn
•Able to multitask
•Recent events degree (or equivalent)
